Detailed description of tasks and responsibilities:
Admin Responsibilities:
• Reception & Front Desk Management: Greet and assist visitors, ensuring a professional and welcoming reception area. Answer and direct phone calls, emails, and inquiries promptly.
• Office Administration: Oversee the general day-to-day operations of the office, ensuring that the working environment remains efficient and organized.
• Inventory & Stationery Management: Monitor inventory and manage office supplies, including stationery orders and re-stocking when necessary.
• Payments Management: Monitor and manage payments for office-related expenses, such as utilities, service fees, and maintenance.
• Car Fleet Management: Manage and track company car and Grab account usage, including making reservations, managing budgets, and reporting on usage.
• Travel & Visa Assistance: Coordinate flight bookings and hotel arrangements for staff; assist with visa applications for staff traveling internationally.
• Invoice Reconciliation: Work closely with the accounting department to ensure that invoices are reconciled, and any discrepancies are resolved promptly.
• Building Coordination: Liaise with the building owner or management regarding office schedules, and any necessary maintenance or upgrades.
